About the role
Magtein® (magnesium L‑threonate) is the patented, clinically studied form of magnesium built for brain health, distributed globally by ThreoTech LLC and backed by five clinical studies including a landmark 2026 Frontiers in Nutrition trial.
The Marketing & Events Coordinator is a hands-on role that owns Magtein®’s global event presence end to end — from planning and vendor coordination through on-site execution and post-event follow-up — across major trade shows, brand partner meetings, and speaker engagements in the US, Europe, and Asia-Pacific. They will also support the broader marketing team on various projects as needed. The role requires exceptional organization, calm under pressure, and a proactive approach to managing multiple deadlines across time zones. This is a hybrid role, requiring one day per week onsite at our office in City of Industry, CA.
Core responsibilities
Tradeshow & event management
- Own end-to-end planning and execution of all Magtein® trade show appearances at major international nutraceutical and health industry events.
- Manage all exhibit logistics — booth design, shipping, drayage, setup, and teardown — and coordinate with exhibit houses, freight forwarders, and on-site labor across multiple countries and time zones.
- Maintain a master global events calendar covering deadlines, booth space, travel, and staffing; research and recommend new opportunities in US, UK, EU, and Asia-Pacific growth markets.
- Lead planning for the annual Summer Sales Meeting, internal marketing meetings, and brand partner / co-branded activations — venue, catering, A/V, invites, and attendee communications.
Digital marketing support
- Post articles to the website, ensuring correct SEO, image tagging and overall formatting.
- Gather Google Analytics and social-site data reports, and present insights from campaigns.
- Post press releases to the PR section of the website.
Marketing deadlines, budget & invoices
- Own the marketing deadline tracker — exhibit submissions, sponsorship commitments, badge allocations, A/V, show services, speaking and award entry windows — and coordinate with the Marketing Director and graphic designer on all print and digital assets.
- Own the events budget tracker — log invoices, vendor payments, exhibit fees, sponsorships, and hotel costs; deliver monthly actuals-vs.-plan reports and identify cost savings.
- Coordinate with finance on purchase orders, expense reports, and payment processing.
Speakers, hotels & vendor relations
- Manage all speaker logistics for Magtein® presentations — abstracts, bios, presentation deadlines, A/V — and maintain a speaker toolkit of bios, headshots, approved decks, and talking points.
- Manage hotel room blocks, group rates, and check-in details for all attending team members.
- Serve as primary point of contact for exhibit vendors, freight companies, hotel coordinators, and event service providers, including brand partner co-marketing.
Post-event reporting & lead management
- Capture and organize leads into the CRM with event source tags; coordinate follow-up sequences with the Marketing Director to ensure leads are assigned and tracked.
- Produce a post-event recap for each major show covering attendance, meetings, leads, budget actuals, and recommendations.
Qualifications
Required
- 3+ years in event coordination, trade show management, or marketing operations, including international / multi-venue logistics.
- Exceptional organizational skills — able to juggle multiple deadlines across time zones — plus strong budget and invoice tracking experience.
- Proficiency with project management tools (Monday, Notion, Asana, or similar) and CRM platforms, plus excellent written and verbal communication.
- Willingness to travel internationally and domestically as required.
Preferred
- Experience in the nutraceutical, supplement, or functional food industry and familiarity with major global industry trade shows.
- Speaker-logistics and conference-submission experience; Monday, Canva, Google Workspace; a second language (French, German, Portuguese, or Spanish) is a plus.
